Property creators supplier comparison: which plan owns the media
A property creators supplier comparison of Google, Microsoft and Dropbox on team ownership, export and region for an England property-media repository.
What to take away
- Google Workspace Business Standard is the closest documented fit for an England property-media approval repository, because shared drives belong to the team, not a departing individual.
- Microsoft 365 Business Standard only works if approval files sit in SharePoint; OneDrive is documented as individual work storage.
- Dropbox Business can hold the library, but storage location is a licence and review matter rather than a customer choice.
- Score by failed gates, not totals, and hold the decision while any non-compensating requirement stays unanswered.
This property creators supplier comparison weighs three named plans against the criteria that decide an England property-media repository.
The repository holds authorised property media, claim evidence and approvals before publication. Start with audience research for property creators, which keeps viewer populations and permissions apart before you store anything.

Table note: criteria checked against the Google, Microsoft and Dropbox plan pages on 5 September 2026. This comparison scores documented capability, not commercial terms: prices and storage ceilings move with term and promotion, so confirm them in a current UK quote in pounds before scoring. No tenant, contract or recovery route was tested.
Google Workspace Business Standard
Google lists Business Standard with Drive storage and collaboration services on its UK business plans page. Its shared drives guide says shared-drive files belong to the team rather than an individual, which is why this plan leads for evidence that must outlast staff changes (Google shared drives guide).
Verdict: the strongest documented fit for a team-owned property-media repository of the three.
Google's Data Export tool is available across Workspace editions, subject to administrator, timing, destination and service limits. Its data-region documentation shows a fundamental at-rest control rather than the finer enterprise controls. Unknowns include the executed contract, enabled services and the UK transfer assessment.
Microsoft 365 Business Standard
Microsoft's UK Business Standard page lists OneDrive and SharePoint alongside desktop and web applications. Microsoft describes OneDrive as individual work storage and points team content to SharePoint in the OneDrive service description. That governs whether approvals survive a leaver.
Verdict: viable only when SharePoint is the repository and OneDrive stays personal scratch space.
Confirm the purchased UK edition, tenant location, retention setup, add-ons, data processing agreement, subprocessors, export method and restore procedure. The commercial contracts guide covers the ten clauses, from scope to exit, that sit behind those checks.
Dropbox Business
Dropbox's Business plan guide describes team storage, administrator settings, sharing controls and activity reports. Its storage-location page says eligible plans may request migration nearer their billing address, subject to licence, billing and review conditions.
Version history is plan-dependent. Treat the window as a supplier feature, not a tested backup.
Verdict: workable for media files, weakest on documented team ownership and region evidence in this comparison.
Confirm the executed data processing agreement, subprocessor and transfer position, report scope, export coverage, permanent-deletion process and a recovery test.
Evidence to collect before you commit
- Build a requirement-to-evidence matrix and mark every line pass, fail or unknown.
- Ask each supplier for a current UK per-user price in pounds with storage terms in writing.
- Trial the survivor with synthetic property records and licensed media.
- Test role separation, guest expiry, approval history, captions, full export and independent restore.
Do not total scores across privacy, rights, security, accessibility and export. One unanswered non-compensating gate keeps the decision on hold.
For the trial content set, draw on official property data sources, which lists registers you can use without inventing sample records.
England data protection and advertising rules
An approval repository holds images, addresses and lead details. A data processing agreement and a transfer position are therefore mandatory, and the ICO's GDPR guide sets out controller and processor duties (ICO GDPR guide). PECR, the electronic marketing rules, applies to any lead tracking.
If the media promotes a property service, ASA rules on recognisability apply. Where a video touches mortgages or investments, FCA promotion rules also bite. Check both before you brief a creator.
Common questions
Which of the three plans fits a property-media approval repository best?
Google Workspace Business Standard, on the documented evidence, because shared drives are owned by the team. Microsoft 365 Business Standard runs close if SharePoint holds the files.
What should we test before signing?
Trial the survivor with synthetic property records and licensed media. Test role separation, guest expiry, approval history, captions, full export and an independent restore.
When should the decision be reviewed?
At renewal, or whenever the edition, hosting, subprocessors, terms, ownership or workflow changes. Name the reviewers who clear the configured service.
